bespoke business software/

Off-the-shelf software is built for everyone. If your processes are standard, that’s fine, and we’ll tell you so. But if your team spends its days working around the software, re-keying data, or paying for seats and features you don’t need, bespoke business software is often the better long-term investment.

Here’s an honest look at the costs, the risks and when each option makes sense.

the honest answer/

Off-the-shelf isn’t cheaper. It’s just cheaper upfront.

When businesses compare the cost of a bespoke system against a Salesforce or Sage subscription, they usually only look at the headline number. What they don’t account for is everything that sits underneath it.

There’s the time your team spends working around a system that doesn’t quite fit. The custom development you’ll need to pay for anyway when the platform can’t do what you need. The per-seat fees that double as you hire. The hours lost re-keying data between systems that don’t talk to each other. The consultant bills every time you need something changed.

By the time you add all of that up, the “cheaper” option frequently isn’t.

A bespoke system built around your exact workflow costs more to build. But it costs nothing extra to run as you grow, requires no workarounds, and delivers a return from day one rather than after months of configuration and training.

A worked example: 30 users over five years

Off-the-shelf CRM, 30 usersYear 1Year 3Year 55-year total
£85 per user per month, rising 7.8% a year*£30,600£35,560£41,320≈ £178,800

That’s before any setup, customisation or implementation partner fees, and it assumes no new hires. Every new hire adds another seat to the off-the-shelf cost, and nothing to the cost of a Cirrus system.

* Based on HubSpot Sales Hub Pro UK list pricing (about £85 per seat per month, February 2026) and the median SaaS price rise at renewal of 7.8% reported for 2026 (Zylo 2026 SaaS Management Index). Prices change; check current list prices for your own comparison.

  • 7.8%median SaaS price rise at renewal

The typical increase software subscriptions put through at renewal in 2026, as reported.

  • £0to add a team member

What adding a new member of staff costs on a Cirrus system: no per-seat fees, ever.

The Cellecta example. The system Cirrus built for Cellecta started as a sales call logging tool. Over the years it expanded to include inspection reports, Robust Details certificates, HR, CPD management and QR merchandising, all under one roof and all on one fixed cost. No Salesforce bill would have stayed flat through that growth.

Generic platforms vs a Cirrus bespoke system

A straightforward comparison across the factors that matter most to a growing SME.

Generic platforms (Salesforce, Sage, Dynamics, HubSpot)

Built for everyone.
A perfect fit for no one.

  • No: You adapt your processes to fit the software
  • No: Per-seat fees grow every time you hire someone
  • No: Feature bloat: paying for tools you will never use
  • No: Your specific workflows need expensive customisation
  • No: Customisation is limited by what the platform allows
  • No: Where your data is stored and who can access it depends on the plan you buy
  • No: Support is through ticket queues and tiers, not the people who built it
  • No: Locked into their product roadmap, not yours
  • No: Add-ons and integrations from different vendors add security and upgrade risk
  • No: Integrating with other systems is complex and costly
  • No: Price rises at every renewal (a median of 7.8% in 2026)

the cirrus difference/

Four things no off-the-shelf platform can offer

  • 100%UK-built

Every line of code written by our UK-based team. No offshore outsourcing, no third-party developers, no compromises on quality or security.

  • ICORegistered

Registered with the Information Commissioner’s Office. Your data is hosted in the UK, stays in the UK and is never shared with third parties.

  • £0Per-seat fees

Unlike Salesforce, Sage or Dynamics, a Cirrus bespoke system carries no per-user licensing costs that escalate as your team grows.

  • 1Trusted partner

One team that builds your system, designs your website and runs your marketing. No passing the buck between agencies who don’t talk to each other.

head to head/

How bespoke, custom-built software compares with the platforms you’re considering

vs salesforce/

Powerful, but you pay for that power

Salesforce Enterprise is about £140 per user per month (UK list price, February 2026), plus implementation partners and annual renewal increases. Bespoke suits you better if you’d only use a fraction of it.

vs hubspot/

Great for marketing-led sales teams

HubSpot is less suited to inspections, certificates, compliance workflows or field teams, which is where most of our systems work.

vs sage, xero and accounts software/

Keep them

We connect your bespoke system to your accounts package rather than replacing it.

vs spreadsheets and microsoft access/

Free to start, expensive to rely on

Spreadsheets and old Access databases get a business going, then hold it back.

what if something happens to cirrus?/

What happens if your supplier isn’t around?

The fair question to ask about any bespoke supplier is what happens if they’re no longer around. Here’s our answer:

  • Standard technology. We build with widely used, well-supported languages and frameworks, so another competent developer could take your system on.
  • Documented. Every system comes with technical documentation and an admin guide.
  • Established and accountable. Cirrus Design Studio Ltd is a UK limited company (reg. 11833982), registered with the ICO, based in Poole, Dorset.

common objections/

The questions we hear most often

Every prospect asks broadly the same questions before commissioning a bespoke build. Here are the honest answers.

Won’t bespoke cost more?

Upfront, yes. But over three to five years, the comparison changes significantly. Per-seat fees compound. Customisation bills accumulate. Workarounds cost time. A bespoke system has a fixed build cost and a predictable annual maintenance fee, with no surprises as you scale.

How long will it take to build?

Focused systems (a site inspection tool, a client portal, a CPD management module) can be live within 8 to 12 weeks. Larger integrated systems typically take 3 to 6 months from scoping to launch. We give you a clear timeline as part of your proposal, with no vague estimates.

What if our needs change?

That’s precisely the point. A bespoke system evolves with you: new modules, new workflows and new integrations added as your business grows. The Cellecta system started as a sales call logger and expanded year on year into HR, CPD, compliance and merchandising. Off-the-shelf software can’t do that.

Is our data safe?

All systems Cirrus builds are hosted on UK-based cloud infrastructure. We are registered with the Information Commissioner’s Office. Your data never leaves the UK and is never shared with third parties. Every system is clean-coded, with no third-party plugins that create security vulnerabilities.

What happens after launch?

We don’t disappear. Cirrus provides ongoing support and maintenance for every system we build. You have direct access to the same team that built your system, not a generic support ticket queue. As your needs evolve, we add new features on your terms and at your pace.

What happens if Cirrus goes out of business?

Every Cirrus Design Studio system is documented, with technical documentation and an admin guide, and built on widely used, standard technology, so another competent developer could take it on. Ask us about ownership and handover terms at your free systems review.

Isn’t bespoke software risky?

The main risks are scope creep, relying on one supplier, and building the wrong thing. We reduce them with a fixed-price scope, building in stages so you see working software early, documentation, and standard technology.

When should we not choose bespoke?

When your process is standard, your team is small, and an existing product does almost everything you need. We’ll tell you if that’s the case at your free systems review.

Can bespoke software qualify for R&D tax relief?

Sometimes. Projects that solve real technical problems may qualify under the UK R&D scheme, but routine builds usually don’t. Check with your accountant. We can provide technical details to support a claim.

Can we keep some of our existing software?

Yes, and we usually recommend it. We connect your bespoke system to the tools that already work well for you, such as your accounts package, email and Microsoft 365.

Is bespoke software the same as custom software?

Yes. “Bespoke” is the British word for software built from scratch for one business. “Custom software” means the same thing and is more common in the US. Either way, it’s designed around how your business works, rather than adapted from a product built for everyone. We use “bespoke” throughout this page, but if you’ve been searching for custom software, you’re in the right place.

Can it integrate with what we use?

Yes. We build integrations with existing tools: accounting packages, document platforms, email systems and more. Your new system can work alongside what you already have rather than replacing everything at once. We design the integration around what makes sense for your business, not what the platform permits.

the honest bit/

When off-the-shelf is the better choice

We’d rather tell you now than sell you something you don’t need. Off-the-shelf software is usually the better choice when:

  • your process is standard, such as a simple sales pipeline or basic invoicing
  • your team is small and isn’t likely to grow quickly
  • you need something working this week, not in two months
  • a well-known product already does 90% of what you need

Many businesses end up with a mix: proven tools such as Xero or Microsoft 365 for the standard work, and a bespoke system for the processes that make them different, all connected.

is bespoke right for you?/

Bespoke makes sense when your business has outgrown generic software

Not every business needs a bespoke system. If your processes are straightforward and a standard CRM or ERP handles them well, off-the-shelf may be perfectly adequate.

But if you recognise any of the following, bespoke is worth a serious conversation:

  • Your team spends time re-keying data between systems that don’t connect
  • You’ve built elaborate spreadsheets to fill gaps in your current software
  • Your processes are too specific for Salesforce or Sage to handle without heavy customisation
  • You’re paying for features you never use while missing the ones you actually need
  • Your per-seat licensing costs are growing faster than your headcount justifies
  • You have a compliance or certification workflow that no standard tool handles properly
  • You need site and office teams connected in real time with data that actually reflects your workflow

If two or more of those apply, the free systems review we offer is worth an hour of your time.

Who we typically work with. SME owners and directors running businesses of 20 to 200 people who have hit the ceiling of what generic software can do for them.

Typically in construction, building products, compliance-heavy sectors or anywhere with complex, specific processes that don’t map neatly to a standard CRM.
