the challenge/
Managing building control applications across office and site, without the paperwork
MC Plan and Site Services manage building control applications on behalf of their clients, a process that spans initial submission, multiple site inspections, sign-off at each stage and final completion certification. Each application involves multiple stakeholders, multiple site visits and a significant volume of documentation.
Before the Cirrus system, this process relied on paper-based site inspection forms that had to be completed in the field and then re-keyed back at the office. Reports could be lost, delayed or contain errors introduced during transcription. Office staff had no real-time visibility of what was happening on site, and site inspectors had no efficient way to access application history before arriving at a job.
The existing approach worked, but it was slow, error-prone and created a significant administrative burden that grew with every new application taken on.
- 0Paper forms
Every inspection is completed digitally, on site, in real time.
- 100%Shared visibility
Every active application is visible to office and site teams at the same time.
- LiveInspection reports
Geo-located reports reach the office the moment they are submitted.
what we built/
A connected system for office, site and client
Cirrus built a bespoke cloud-based business management system that handles the entire building control application lifecycle, from initial submission through to final sign-off, with real-time connectivity between office and site teams.
01/
Full application lifecycle management
Every application is tracked from submission to completion: status, documents, inspection history, outstanding actions and communications all in one place, visible to the right people at the right time.
02/
Geo-located digital site inspection reports
Site inspectors complete reports directly on their mobile device while on site. GPS location is automatically embedded in each report, and the completed report is instantly visible to the office team: no re-keying, no paper, no delay.
03/
AI-assisted report completion
Embedded AI tools guide both site inspectors and office staff through the inspection report process, suggesting required fields, flagging missing information and identifying potential compliance issues before a report is submitted.
04/
Real-time application dashboard
Office managers have a live view of every active application (current status, next action required, outstanding inspections, overdue items and team workload) without needing to chase site staff for updates.
05/
Complete audit trail and document management
Every document, every inspection report, every status change and every communication is logged against the relevant application, creating an unalterable audit trail accessible at any time.
06/
Automated notifications and status updates
Clients and internal team members are automatically notified at each key stage of the application process, removing the need for manual update emails and reducing inbound enquiries.
the result/
A building control operation that runs on real-time data
The MC Plan and Site Services system replaced a paper-based, manually intensive workflow with a connected digital operation. Site inspectors arrive at jobs with full application history on their device. Reports are submitted digitally, geo-tagged and visible to the office team within seconds of completion.
The AI assistance layer means inspectors are guided through each report consistently, reducing errors, improving compliance and ensuring nothing is missed. Office managers have a real-time view of every active application without making a single phone call to find out what is happening on site.
The result is a significantly faster, more accurate and more scalable building control operation: one that can take on more applications without a proportional increase in administrative overhead.
